Oxford University Selects Messageware to Solve OWA Disparities
June 21, 2010, Toronto, Canada – Messageware (www.messageware.com), the world's leading provider of enterprise productivity, security and customization solutions for Microsoft Office Outlook Web Access and Outlook Web App (OWA), today announced that Oxford University, the oldest university in the English-speaking world, and a leader in learning, teaching and research, has selected Messageware CalendarShare and Messageware Plus Pack solutions for Microsoft Exchange Server 2007. These solutions are now being used by 40,000 staff and students at Oxford with an additional 5,000 users planned for the Fall.
Early in 2008, Oxford decided to deploy Exchange 2007 and OWA and, in the process, consolidate many different open source calendaring and messaging solutions. This decision was intended to streamline inter-departmental communication across the University, simplifying collaboration
To further increase collaboration, the organization made a decision to allow all of their users to access email via OWA, both on and off-site. Approximately 20,000 of these users are relying on OWA solely for email access. However, in the organization’s planning, they did not consider disparities between Internet browsers. Almost 60% of Oxford users are using a browser other than Internet Explorer and receive OWA Light. Shortly after deployment, they began to receive complaints, mainly from individuals using Firefox, Safari, and Chrome, about the inability to see other calendar views and share their calendars from within OWA.
Their search to make OWA Light look and function more like the IE-OWA version and Outlook eventually led Oxford to Messageware and their CalendarShare 2007 and Plus Pack 2007 solutions. According to Paul Davis, a member of the Nexus Team for Oxford University Computer Services (OUCS), since the deployment, criticism has been significantly reduced. “With Messageware we can deliver a similar experience to all of our students and staff regardless of what browser they are using.”
With Plus Pack and CalendarShare the OWA Light user experience is significantly improved. For the first time, users have access to many of the features that were previously only available with Internet Explorer, such as the ability to see daily, weekly and monthly calendars views, simplified scheduling, calendar delegate permissions, new mail notifications and more.

- The “Open additional mailboxes” feature has also been added to OWA Light and is now accessible from the main toolbar. This feature provides OWA Light users the ability to easily open and manage shared mailboxes and accounts.

- The “Open additional mailboxes” feature has also been added to OWA Light and is now accessible from the main toolbar. This feature provides OWA Light users the ability to easily open and manage shared mailboxes and accounts.

Kingston University is Textbook Example for Messageware Productivity Tools

Nestled into a one thousand year-old suburb of London is one of the most innovative testing grounds of the 21st century knowledge culture. Kingston University enjoys an enviable place in the British academic scene as an incubator for new teaching and research ideas. Its 20,000 students, who hail from 143 different countries, inhabit a close-knit grouping of four campuses in and around Kingston on Thames, 25 miles from central London. Because of the urban setting and distributed physical plan, students and faculty are constantly on the move. Kingston University’s IS personnel are challenged to keep up.
“Our people are moving at the pace of modern life. It’s essential for them to stay in contact with the university community whether they’re in a classroom building, in a coffeehouse, at home, or halfway around the world on an overseas internship,” notes Mark Nicholls, Senior Technical Consultant.
Email is the linchpin to Kingston’s mobile learning paradigm. Because as many as 30,000 users, including students, teachers, administrators and partners, may access their email from multiple PCs during any given day, Nicholls and the IS team chose to install Microsoft Outlook Web Access (OWA), enabling their constituents to send and receive school email from any Web browser enabled computer.
“OWA is available to everyone—but for our students it’s their primary method for sending and receiving email,” stated Nicholls. “Unfortunately OWA does not offer some of the key features found in the full Outlook client, like access to personal address lists or the ability to share calendars. Even more, opening file attachments is a problem if the PC being used doesn’t have the appropriate application installed.”
According to Mark Rotman, Messageware’s President & CEO, the concerns raised by Kingston University are not at all unusual. “Kingston is a classic example of the benefits OWA enhancement can bring to organizations with a high number of mobile users. With an ever-increasing number of people on the move during the business or school day, email access from a variety of locations is critical. Messageware OWA Suite 2009 Cures Employee Concerns As Hospital Moves To Outlook Web Access
December 7, 2009, Toronto, Canada – Messageware (http://www.messageware.com), the world's leading provider of enterprise productivity, security and customization solutions for Microsoft Office Outlook Web Access (OWA) today announced that Wentworth-Douglass Hospital (www.wdhospital.com), one of New England’s most progressive medical centers and the largest acute care center in the Seacoast region of New Hampshire, has deployed the Messageware OWA Suite 2009 for Exchange 2007 so as to solve employee productivity concerns as they transition from GroupWise to Exchange.
In recent months, Wentworth-Douglass has pursued a unified communications strategy that reaches every corner of its operations. The goal of this strategy is to standardize on the Microsoft platform as a means to get them prepared for future technologies, including nurses having phones with VoIP telephony and RFID (Radio-Frequency Identification). However, before they could standardize they needed to transition their email/collaboration infrastructure from Novell GroupWise to Microsoft Exchange.
“Running both Novell and Microsoft servers added needless complexity. We had a dual infrastructure that was an administrative nightmare to maintain. It made sense to focus solely on Microsoft—especially Outlook and Outlook Web Access—for our email and group calendar needs,” said Scott Heffner, Network Operations Manager for Wentworth-Douglass.
While Outlook was chosen as the default personal information manager platform for the hospital’s 2,200 employees, 350 employees needed a secure and productive to access their email on the hospital’s shared computers. In addition, 250 hospital personnel, remote workers and doctors needed to have a Web access alternative that would enable them to check email and appointments remotely. Outlook Web Access (OWA) was the obvious choice for this need—but there was one potential snag.
“In our planning meetings with hospital staff, we were told in no uncertain terms, ‘Make sure we have the ability to share calendars,’ recalled Stefanie Paul, Project Technical Coordinator. “Unfortunately, native OWA doesn’t have the capability to set sharing permission or easily view multiple calendars.”
To make the hospital’s transition to OWA smooth, Heffner and Paul realized they would need to provide not only a calendar share capability, but also other productivity functions like spell check and address auto-complete. A quick Internet search showed them that only one product could do the job.

“Beside all its productivity features, Messageware OWA Suite 2009 offers security upgrades that are very useful for hospitals,” added Paul. “TimeGuard makes sure that the OWA session ends and the browser window closes if the person walks away from the PC. NavGuard prevents the next person from seeing things they shouldn’t, simply by hitting the ‘back’ button on a screen where the first person didn’t log out. These security features help us comply with HIPAA regulations.”
Brian Kirby, the hospital’s Microsoft Exchange Administrator, reported that Messageware’s support team was extremely knowledgeable about Exchange and helpful with their specific environment. “We run Exchange 2007 on Windows Server 2008, which is virtualized on VMWare. Our discussions with Messageware support were always dealt with in a timely fashion and the advice was very useful.”
“There’s no question Messageware OWA Suite 2009 has made the rollout of OWA more successful,” stated Paul. “Our power users have told us that having calendar sharing and personalized spell check made the transition much easier.”
Thanks to Messageware OWA Suite 2009, hundreds of doctors and nurses at Wentworth-Douglass have a built-in medical dictionary, as well as roaming personal dictionaries, anyplace they access their email. What’s more, both the clinical staff and their administrative assistants can view multiple calendars side by side to quickly schedule internal and external meetings.
An unexpected plus were the powerful security aspects of the suite. “These days, hospitals must constantly be aware of their regulatory obligations,” said Heffner. “We certainly welcomed the added protection afforded by TimeGuard and NavGuard. Later this year, the Wentworth-Douglass IT team intends to roll out the application’s AttachView and OWA Print components. Extra Space Storage Eliminates Desktop Outlook
Takes Outlook Web Access Security and Productivity to the Next Level

Self-storage is big business—and not only because Americans are drowning in “stuff”. As thousands of entrepreneurial landowners, developers and investors have discovered, self-storage properties are strong business opportunities. Their favorable ROI has prompted the building of over 55,000 facilities across the U.S., at last count.
Extra Space Storage has risen to the number two position in this growing industry through its powerful Real Estate Investment Trust (REIT) based business formula. The company owns, co-owns, or manages 695 storage locations in 35 states, all under the Extra Space Storage brand.
As noted by Karl Wenger, Director of Network Services for Extra Space, such a diverse business model presents unique IT challenges. “Because growth in this industry comes through both acquisition and local development, it’s easy for companies to develop islands of data around the country,” he said. “Extra Space’s solution has been to create a Web-based IT infrastructure that eliminates these islands, while maintaining centralized software provisioning and control.”
The Extra Space IT team, headed by CIO Bill Hoban, has built an innovative online computing environment that supports virtually everything an Extra Space location needs to operate. There are one to three computers at each retail location on which users access a third-party ASP model containing Point-Of-Sale (POS), facility management and other business software via the Web. The list also includes Outlook Web Access (OWA), which lets facility managers and employees send and receive email, maintain calendars and contact lists, and manage tasks via Windows Internet Explorer.
Extra Space’s choice of OWA, however, was incomplete. “Our local personnel didn’t have some of the productivity features Microsoft Outlook offers. A big one was address book auto-addressing. In order to send an email they had to perform a search for the person’s email address, which was very time-consuming. There was no spell-check or easy way to attach documents either,” Wenger stated.
In 2003, Extra Space purchased Messageware’s Plus Pack for Exchange 2000. This gave its corporate and district manager’s basic productivity enhancements for Outlook Express while travelling. When Extra Space acquired Storage USA in 2005, they soon realized Exchange 2000 was not sufficient to handle an additional 400 facilities and hundreds of new employees, and they upgraded their email system to Exchange 2003. They turned to Messageware OWA Suite 2003 to help bridge the gap.
The company’s positive experience with OWA Suite 2003 has led Wenger back to Messageware again, having just upgraded to Exchange 2007. “After reviewing OWA Suite 2009, we realized it would satisfy all our needs for OWA. In addition to the enhanced address book functionally, the security features had previously prompted us to upgrade from Plus Pack to the Suite, and we wanted and needed those features again in Exchange 2007,” said Wenger. “Its ability to sign out the user automatically was perhaps the biggest single reason we selected the product.”

Soon after installing OWA Suite 2009, Extra Space discovered a compatibility issue between the application and the facility management software the company uses—but as Wenger reported; Messageware’s developers were more than up to the task. “There was a bit of overwriting going on between OWA and the software, but Messageware fixed it within a week or so. The issue was handled wonderfully and in a very short timeframe,” he said.
With OWA Suite 2009 in place, Wenger believes his company has the complete, practical and reliable Web-based computing environment it was looking for. “OWA Suite 2009 makes OWA spectacular,” he stated. “Now our facility personnel can go to any PC at their location and immediately begin working.”
The “virtual office” created through the IT department’s online platform also enables corporate personnel, senior site managers, and learning specialists, to function independently of facility employees, simply by logging in separately. Also happy are Extra Space Storage’s outside accounting firms, as the email solution satisfies all Sarbanes Oxley security requirements.

Laura Canada Rings Up Savings Using Messageware OWA Suite 2009 For Exchange 2007

Laura Canada has a reputation among Canadian women shoppers as distinctive as its founder, Laura Wolstein. Begun in 1930 as a single store in the heart of Montreal, Laura Canada—a family of brands that includes Laura, Laura Petites, Laura Plus and Melanie Lyne—is today a chain of 143 stores located across the country. Laura specializes in contemporary fashion options at moderate prices. Melanie Lyne is the store for the discriminating customer looking for fashion forward designs.
To manage this large and growing Montreal, Canada based enterprise of over 2,600 employees, corporate executives are constantly on the move, traveling to stores and meeting with vendors. Several hundred headquarters employees typically access their email via Outlook Web Access (OWA), Microsoft’s Web-based email client. A number of others, including retail store personnel and designers using Macs, use OWA Light, a version of OWA available for systems not using the Windows Internet Explorer browser.
When Laura Canada migrated to Exchange 2007, the latest version of Microsoft’s email/contact/calendar server application, they soon discovered some enhancements were necessary. “People wanted more features that were missing, like the ability to share calendars and contacts, print appointment calendars and send Microsoft Office files directly from within OWA,” said Mick Huynh, the company’s Manager of Technical Services. “Our regional managers felt that OWA Light was far too light and limiting, so much so they would go home and do emails from there instead.”
Especially important to Laura Canada’s executives was the ability for their assistants to maintain their personal appointment calendars for them. “Without a sharing function, assistants couldn’t access the online calendars of our directors and upper management to book appointments,” Huynh noted. “The only option was for executives to give out their user name and password. We needed a better answer.”
After considering the internal development of a custom solution to enhance OWA, Huynh researched the availability of OWA enhancement software. Once he saw the features in Messageware’s OWA Suite 2009, he knew he had found what he was looking for. “OWA Suite 2009 had all the capabilities we were searching for, plus more,” Huynh said.

At first, Huynh decided to try Messageware OWA Suite 2009 for a month with selected corporate “power users”. “The response was very positive. There were no show-stoppers of any kind,” he recalled.
Soon all 500 corporate- and store-level users within Laura Canada had OWA enhanced with Messageware OWA Suite 2009. “Our OWA Light users in particular appreciated all the functionality improvements the rest of our users had taken for granted. All of our employees were excited to use the calendar sharing capabilities,” said Huynh. “Before this, we had to run command codes in the back end to enable calendar sharing. Messageware OWA Suite 2009 solved the problem.”
During this period Messageware product support also proved itself, in two critical ways. To ensure disaster recovery, Laura Canada maintains two separate Exchange environments—one at its Montreal headquarters and another in Vancouver. The configuration requires two discrete Microsoft Active Directory nodes, known as an Exchange resource forest, as well as a special Microsoft software patch so users could enjoy single sign-on. Huynh said that Messageware OWA Suite 2009 was able to support that patch natively.
“The second issue involved OWA Light. It seemed that when Internet Explorer 6 was running in OWA Light mode, users had difficulties using certain Messageware OWA Suite 2009 features,” Huynh stated. “We contacted Messageware, and within three weeks we had a new build that solved the problem.”
One thing stuck in Huynh’s mind in particular about the experience. “We were anxious to get the fix, but Messageware’s engineers said that quality assurance was critical. They spent half of those three weeks making sure the new build was bulletproof before they sent it out,” he said. “That’s the thing about Messageware—its support is phenomenal.”
Huynh believes Messageware OWA Suite 2009 is an ideal fit for retailers because it allows a widely-dispersed group of workers to maximize their work day. “Many of our road warriors email vendors 15 to 20 times a day, sending 8 or 10 attachments at a time. If that takes two to five minutes per email, the time really adds up,” he said. “Messageware OWA Suite 2009’s ActiveSend product probably cuts that time in half.”
Many of the capabilities found in Messageware OWA Suite 2009 have become a part of the daily work lives of Laura Canada’s OWA users. The impact has been increased productivity, greater security and a richer end-user experience. But Huynh says there is one benefit that’s easy to put a dollar figure on. “On top of everything else, adding Messageware’s OWA Suite to our company’s email system has reduced our dependency on printed agendas (and its associated cost), which is also more environmentally friendly,” he points out.

Top Norwegian Wealth Management Firm Profits From Custom OWA Productivity Solutions Built By Messageware

From its start, Formuesforvaltning—whose name, which means “fortune advising” in Norwegian, is often shortened to Formue—supported mobility for its employees. “Our money managers travel a lot, both for business and pleasure. And not always by traditional means,” noted Stephen Karl Ranson, Formue’s IT director. “Many actually ride their bicycles or even ski to work. Laptops don’t fit the ‘lightweight’ lifestyle our best producers prefer to lead.”
Because of his company’s desire for true cloud-computing mobility, Ranson and his team implement Web-based applications, including Software as a Service (Saas) alternatives, whenever possible. Outlook Web Access (OWA), Microsoft’s Web-based email client, was a natural choice for Formue. But it wasn’t a complete solution.
“Outlook Web Access is very good, but we needed additional features. At the top of the list was calendar sharing capabilities,” Ranson noted. “Our in-house development team was completely capable of handling the task—after all, we custom-built our own CRM platform—but we decided there was no need to reinvent the wheel if a good outside development partner with OWA expertise was available. So we began our search.”
Ranson and his IT team soon learned about Messageware, a Microsoft Gold Partner, who offered Formue a rich suite of OWA productivity solutions.
“Finding Messageware was like a gift,” Ranson said. “Once we saw all the tools and development expertise available through Messageware, it gave us the impetus to undertake a serious upgrade of OWA.”
Formue’s initial interest was in CalendarShare 2007, Messageware’s application that allows users to view multiple employee calendars side-by-side, for easier meeting scheduling. With CalendarShare, users can set permissions that allow certain co-workers to view, edit or manage personal appointments; they can also book resources such as conference rooms and A/V equipment through the same interface.
After assessing the added value of Messageware’s other products, Formue went on to implement the whole Messageware OWA Suite of seven products. However, it wasn’t long before Formue realized they needed a way to extend their adoption of Business Process Management (BPM) to OWA. This focus entails honing and directing business process so the company can be as responsive and efficient as possible. To accomplish this, Formue designed a set of internal web services that allows for interaction with the various CRM components, including OWA.
Formue turned to Messageware again, this time to complete their adoption of BPM and implement the “glue” between OWA and their CRM solution. This step resulted in a tight integration between OWA message composition and the CRM system. It enables users to quickly and efficiently address OWA-generated email correspondence to selected clients within the CRM framework. In addition, users are now able to classify the message with a dynamic list of classifications prior to sending.
“The Messageware custom development team wanted to exceed our requirements. They said their method was all about quality, and they felt they could give us more,” he recalled. “We were able to work directly and very meaningfully with the team. The process went very smoothly, and the quality of the deliverable was very impressive.”
Formue set a two-phase implementation for its Messageware-supplied solutions. The first was a rollout of the Messageware OWA Suite and the combined CRM/OWA integration with basic sharing and collaborative meeting/task capabilities; the second is the integration with the firm’s document management platform, which will enable workers to set meetings based on information found in reports and other papers in the combined OWA/CRM solution.
“People are already asking for the second phase, which tells me they’re finding the combined solutions to be very valuable. We also plan to implement a full range of features through Microsoft Exchange which will allow people to query meeting information for inclusion in reports,” Ranson said.
For Formue’s IT staff, the interaction with Messageware’s development team has been as positive as the OWA enhancements themselves. “We’ve received lots of good ideas, from attachment viewing to improved security,” noted Ranson. “Messageware has become a real business productivity partner for us.”

Messageware Unveils OWA Suite 2009 for Microsoft Exchange Server

OWA Light Calendaring Insufficient Says New Poll
December 3, 2008, Toronto, Canada -- According to a new survey sponsored by Messageware (www.messageware.com), the world's leading provider of enterprise productivity and security solutions for Outlook Web Access (OWA), more than 85% of Microsoft Office OWA Light users polled want the ability to view their calendar by week and by month. These views are found in OWA Premium, but not in OWA Light, the only remote mail solution for enterprises that have deployed Microsoft Office Exchange and whose users are on Apple Mac’s or are using the Mozilla Firefox, Google Chrome or Netscape browsers.
Between May and October, 2008, forty-nine users were polled online at www.outlook-web-access.com. When asked whether they knew about the missing monthly and weekly calendar views in OWA Light, 57.1% were aware of this missing feature and wanted it back, while 28.6% did not know, but desired it.

It all began when the restaurant group selected Microsoft Outlook Web Access (OWA) as their email client to allow their 950 mobile team members to communicate with corporate customers, food vendors, business partners and the general public. Thousands of people in rural Northern Canada, who up until recently did not have a convenient means to get prescriptions drugs, are now benefiting from this innovation.
Imagine filling a prescription without ever meeting a pharmacist in-person or, receiving medication via an automatic dispenser that is triggered by a pharmacist located hundreds of miles away. The North West Company's Northern Telepharmacy does just that and was specifically designed to address the growing health needs of people in these remote locations.
However, before this project could take flight the company needed to address mission-critical email productivity and security concerns in their Microsoft Exchange Server 2003 and Outlook Web Access (OWA) messaging platform. Referring to their initial roll out, Kevin Dyck, Senior Technology Analyst for The North West Company said, “Security was our chief concern. Mainly, the huge security risks that are involved when someone opens, saves or views email attachments in native OWA. So, we made the decision to turn off this feature and for a good several months our 1,300 users did not have a means to view attachments. We knew this could not be a permanent solution, as our pharmacists send and receive a large amount of correspondence daily. Also, hundreds of users now relied on OWA exclusively for email access.”
In order to allow attachment viewing for all of North West’s employees in approximately 200 remote locations without risking company security, the company deployed Messageware AttachView. AttachView prevents OWA attachments from being stored in the Temporary Internet Files of shared computers by converting attachment files into secure HTML web pages, giving fast, secure access to prescriptions and other documents that The North West Company and their Telepharmacy employees need to make decisions.

St. Michael's University School Increases OWA Usage with Messageware OWA Suite

New White Paper Resolves Overlooked Outlook Web Access Security Risks
Logging in on Shared Computers & Leaving Active Sessions Top the List of Problems
July 19, 2007, Toronto, Canada – Microsoft Office Outlook Web Access (OWA) is the corporate web mail solution of choice for the overwhelming majority of companies today and most of these companies secure their OWA environment with a Microsoft Internet Security & Acceleration (ISA) firewall server. A new white paper released today by Messageware (www.messageware.com), the world's leading provider of enterprise productivity and security solutions for Microsoft Office Outlook Web Access, highlights often overlooked security risks for organizations running OWA with ISA Server. In addition, it offers effective solutions for securing OWA against those risks.
Topping the list of vulnerabilities are users logging in using shared computers, such as at conference kiosks, at home, internet cafes, client sites or university computer labs and leaving an active session, either by navigating away from the page or closing the browser window without first logging off. When a user logs into OWA it creates a cookie that can act as a continuous bridge into OWA user accounts and potentially, one’s network or servers. ISA Server 2000 & 2004 contain an auto logoff feature, but there are still scenarios where unauthorized users can access active sessions. In addition, the newly released 2006 version does not have the auto logoff feature, resulting in users being able to navigate away from active OWA sessions without any warning.
To minimize an organization’s risk, Messageware offers two security software solutions that work hand-in-hand with OWA – NavGuard and TimeGuard. Originally introduced in 2006 and currently in use by thousands of OWA users, both solutions extend the security of ISA to offer total protection for OWA users and peace of mind for IT/Messaging Managers. Free Download Fixes Common Problem with Microsoft Outlook Web Access

Many companies who have Microsoft Exchange with the update Q911829 (released in March and April, 2006) installed and are using Outlook Web Access have been experiencing a problem addressing messages. In some environments, when the spacebar is pressed after addressing a message the address dialog box re-appears and in some cases, while typing the message body, entering a space suddenly activates the addressing dialog box.

The new security features in AttachView 7.0 include:
- RSA Secured certification. RSA SecurID provides two-factor user authentication, requiring users to identify themselves twice (with a password and a key fob token) before gaining access. RSA Sign-On Manager provides single sign-on/password authentication to reduce help desk costs and improve user productivity.
- Corporate device recognition, which allows organizations to set broader security policies (including more flexible open and save privileges) for users accessing OWA from secure devices such as a company-owned notebook computer.
- ‘Read only’ capability for attachments, allowing organizations to restrict users from adding new attachments. Users can view and forward existing attachments only, providing additional security from non-secure computers.
- Restricted right-click menu access, allowing organizations to disable Save, Send To and Print functionality from the right-click menu, further reducing users’ ability to manipulate attachments and risk security breaches.
- Policy list rulesets, providing varying levels of security for different users, groups and zones. For example, company-owned notebook computer users could receive enhanced attachment capabilities due to their secure OWA access devices.
AttachView 7.0 also includes useful new productivity features, such as one-button hide/show for the left-hand viewing window toolbar for easier document viewing, and enhanced browser support for new Windows and Mac internet browsers due to the increased popularity of non-Internet Explorer browsers such as Firefox and Safari. Messageware has extended traditional IE features and functionality to these products.
